Privacy Policy
Effective October 27, 2026
The short version
- MoveCrafter is software for moving companies. The information a moving company keeps in MoveCrafter about its own customers belongs to that moving company, and we handle it on their behalf.
- We use information to run and support MoveCrafter, not to advertise. We don't sell personal information.
- We share information only with the service providers that make MoveCrafter work (hosting, payments, email, texting, maps) and with services you connect, like QuickBooks Online.
- Questions or requests: support@movecrafter.com.
1. Who we are and what this covers
This policy explains how MoveCrafter LLC ("MoveCrafter", "we", "us") collects, uses, shares and protects information when you use our website at movecrafter.com, the MoveCrafter web application at app.movecrafter.com, the customer portal, the crew mobile apps, and related services (together, the "Service").
MoveCrafter's customers are moving companies ("Companies"). When a Company uses MoveCrafter to manage its own customers, crews and jobs, the Company decides what information to collect and how to use it, and MoveCrafter processes that information on the Company's behalf and under our agreement with them. If you are a customer of a moving company that uses MoveCrafter, that company's privacy policy also applies to you, and you should contact them first about your information. We will help them respond.
2. Information we collect
Information Companies and their staff give us
- Account information: names, email addresses, phone numbers, roles and login credentials of a Company's owners, office staff and crew members.
- Company information: business name, address, phone, license numbers, logo, rates and settings.
- Business records: information a Company enters or imports about its customers and jobs, such as names, contact details, move addresses and dates, inventories, estimates, invoices, payments, notes, photos, documents and electronic signatures.
- Communications: emails and text messages sent through the Service, and replies customers send back.
- Waitlist and support: the email address and company name you give us on movecrafter.com, and what you tell us when you contact support.
Payment information
Card and bank payments are processed by Stripe. Card numbers are entered directly into Stripe's secure forms and are never stored on MoveCrafter's servers. We keep payment records, such as the amount, date, status and the card brand and last four digits, so Companies can track what has been paid. Companies that accept payments through MoveCrafter also provide business and banking details directly to Stripe to set up their accounts.
Information from services you connect
- QuickBooks Online: when a Company connects QuickBooks Online, we receive an authorization from Intuit and read the company's name, customer list (to match customers), and the items, accounts, tax codes and payment methods needed to set up the sync. We then write invoices, payments, customers and sales receipts into that QuickBooks company. See section 5.
- Imports: data a Company exports from other software (for example SmartMoving) and uploads to MoveCrafter.
- Lead providers: lead details that providers the Company has set up send to MoveCrafter.
Information collected automatically
When you use the Service, our systems record technical information such as IP address, browser and device type, pages visited, and error and security logs. We use cookies that are necessary to keep you signed in and to keep the Service secure. We do not use advertising cookies.
3. How we use information
- To provide, maintain and support the Service, including sending the emails and texts Companies send to their customers and crews.
- To process payments, subscriptions and platform fees.
- To keep the Service secure, prevent fraud and abuse, and fix problems.
- To communicate with Company users about their accounts, the Service and changes to it.
- To improve the Service, using aggregated or de-identified information.
- To comply with law and enforce our terms.
We do not sell personal information, and we do not use a Company's business records or its customers' information for advertising.
4. How we share information
We share information only as needed to run the Service:
- Service providers that process information for us under contract:
- Supabase (database, file storage and sign-in);
- Vercel (web hosting);
- Stripe (payments);
- Resend (email delivery);
- Twilio (text messaging);
- Google (Maps Platform for addresses, drive times and mileage, and the waitlist form);
- Cloudflare (DNS, network protection and spam protection on web forms).
- Services a Company connects, such as Intuit QuickBooks Online, which receive the information the Company chooses to sync.
- The Company's own customers and crews, who see the estimates, invoices, documents, schedules and messages the Company sends them.
- Legal and safety: when required by law, legal process or to protect rights, safety and the security of the Service.
- Business transfers: as part of a merger, acquisition or sale of assets, subject to this policy.
5. QuickBooks Online data
When a Company connects QuickBooks Online, we access its QuickBooks company only to provide the sync the Company turned on:
- What we read: company name and settings, customers (to match existing ones), and items, accounts, tax codes and payment methods (to set up mappings and check results).
- What we write: customers, invoices, payments and sales receipts that correspond to records in MoveCrafter, and, if the Company asks, the items and account needed for the sync.
- How it's protected: the access tokens Intuit issues are encrypted before they are stored and are used only by our servers.
- Limits: we do not use QuickBooks data for any purpose other than the sync, we do not sell it, and we do not share it except with the service providers listed above as needed to run the Service.
- Disconnecting: a Company can disconnect QuickBooks at any time in MoveCrafter or in QuickBooks. On disconnect we revoke and delete the tokens. Records already written to QuickBooks stay in the Company's QuickBooks file.
6. Text messages
Companies use MoveCrafter to send their customers and crews text messages about moves, such as confirmations, reminders, schedule changes and replies to customer questions. Message frequency varies with each move. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the service providers that deliver the messages.
7. How long we keep information
We keep a Company's information for as long as its account is active. After an account is closed, we delete or de-identify its business records within 90 days, unless the Company asks us to delete them sooner or we must keep some information longer to meet legal, tax or accounting obligations, resolve disputes or enforce our agreements. Backups are overwritten on a rolling schedule.
8. Security
We use industry-standard safeguards to protect information, including encryption in transit (HTTPS), encryption at rest provided by our hosting providers, role-based access controls, per-company data separation in our database, and encrypted storage of third-party access tokens. No system is perfectly secure, so we can't guarantee absolute security, but we work to protect your information and will notify affected Companies of a security incident as required by law.
9. Your choices and rights
- Company users can view and update most account information in MoveCrafter, and can ask us to export or delete their Company's data by emailing support@movecrafter.com.
- Customers of a moving company should send requests about their information to that company. If you contact us, we will pass your request to the company.
- Depending on where you live, you may have rights to access, correct, delete or get a copy of your personal information, or to object to certain uses. We will respond to such requests as required by applicable law.
- You can opt out of texts by replying STOP, and out of non-essential emails using the link in the email.
10. Children
The Service is meant for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify Company account owners by email or in the Service before the changes take effect. The effective date at the top shows when it last changed.
